WHAT WE HANDLE

Information we receive, and why.

When you browse the website

The site is hosted on Cloudflare Pages. To deliver and protect it, Cloudflare may process technical connection information such as your IP address, browser or device information, pages requested, request times and security information. This helps the website function, remain available and resist misuse.

The lawful basis for any personal information we use for site operation and security is our legitimate interest in operating a reliable and secure business website.

When you contact us

If you email us, we receive the details you choose to send, which may include your name, contact details, organisation, professional role and the contents of your message. We use that information to answer questions, discuss possible work, prepare proposals and keep a record of relevant correspondence.

We rely on our legitimate interests in responding to genuine business enquiries and developing client relationships. Where a person asks us to take steps before entering a contract with them, that activity may instead rely on steps taken at their request before a contract.

When we work together

If you commission work, we use appropriate business and contact information to agree scope, deliver services, communicate, invoice and meet our obligations. Depending on the circumstances, the legal basis is performance of a contract, legitimate interests in managing business-to-business services, or compliance with legal obligations such as accounting requirements.

Any processing of client source code, confidential files or engagement-specific evidence is governed by separately agreed scope, authorisation, confidentiality and data-handling arrangements. Our default is not to give source code to external AI models; a client-requested exception would require express, documented agreement. This website does not accept such uploads.

Professional introductions and business enquiries

We may receive work contact details from introductions, publicly available business information or direct professional correspondence to discuss services relevant to an organisation. Where lawful, we rely on legitimate interests and respect applicable rules for business marketing communications. You may object to direct marketing at any time by replying to us or emailing the address above; we will stop using your details for that purpose.

We do not use this website to make decisions about individuals solely by automated means that produce legal or similarly significant effects.

HOSTING & EMAIL

Who processes the information?

Service providers

Cloudflare hosts and delivers the static website, including necessary network and security processing. Proton Mail provides the business email service used for enquiries and correspondence. These providers process relevant information in connection with their services, subject to their own published terms and privacy arrangements.

We may also disclose relevant information to professional advisers, authorised service providers or regulators where reasonably necessary for our work, compliance or the establishment, exercise or defence of legal claims. We do not sell website visitors' personal information.

Processing outside the United Kingdom

Cloudflare and Proton operate internationally, so technical website information and business correspondence may be processed or routed outside the UK. Where data protection law requires protection for international transfers, the applicable provider arrangements and legal transfer mechanisms must provide that protection. You can contact us for information about safeguards relevant to your data.

How long we keep information

We keep enquiries while they are active. If an enquiry does not become an engagement, we normally delete or anonymise its personal information within 12 months of the last substantive contact, unless there is a continuing discussion or a genuine legal or business reason to retain it longer.

Where an engagement proceeds, relevant contract, correspondence and financial records are kept for as long as needed to deliver the work, satisfy accounting and tax requirements, or deal with reasonable legal claims. The applicable requirement determines the period; accounting records are commonly retained for six years. Cloudflare controls the retention of the technical information it processes within its service.

Email and confidential documents

Please do not email repositories, passwords, credentials, proprietary source code or confidential documents as part of an initial enquiry. Ordinary email should not be assumed to provide end-to-end confidentiality between all senders and recipients. If specialist materials are needed, we will agree suitable confidentiality and transfer arrangements separately.

COOKIES & RIGHTS

Your choices and rights.

Cookies and analytics

The website itself does not include advertising trackers, analytics scripts, account registration or non-essential cookies. Cloudflare may use cookies strictly necessary to provide or protect the website, for example in connection with security checks. We do not use those cookies for advertising.

We do not enable optional Cloudflare Web Analytics or other visitor-tracking features as part of this website configuration. If that changes, we will update this notice and obtain consent where required before using any non-essential storage or tracking technology.

Your data protection rights

Depending on the circumstances, you may have the right to access information we hold about you, ask us to correct it, request deletion, restrict or object to certain processing, or request transfer of data. If we ever rely on consent for particular processing, you may withdraw that consent.

You have the right to object to the use of your personal data for direct marketing at any time. You may also object to processing based on legitimate interests, subject to applicable legal conditions.

To exercise a right, email contact@polarisintelligence.co.uk. We may need to verify your identity. These rights are subject to statutory limits and exemptions.

If you have a concern

Please contact us first so that we can look into your concern. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
